Tent Photograph Borrowed From The Knot |
I received an email this morning asking for advice on party planning. It occurred to me I hadn't blogged about when it is appropriate to rent a tent for the event. Here are some guidelines you can use. Like any event in a venue that cost money, a tent rental will also cost money. The difference it provides unique atmosphere for your day. Considering the location will determine the size.
Things to consider when renting a tent.
- Season
- Location
- Area
- Size
- Flooring
- Color
- Do you want walls?
- Heating or Fans
- Number of People Attending
- Number of Children Attending
- Lighting
- Security
- City Permits
- City Ordinance
- Noise Restrictions
- Lighting and what will power the lighting (Generators)
- Generators (Size, Power, Fuel)
- Catering
If you are going to provide a catered event you will have to have an area where they can prepare the plates for service. You must talk things over with your caterer, each caterer has their requirements. Many will equip their kitchen area, however many expect you to plan it.
The set up can take hours. Know your time limits with the city and the tent rental company. Many cities will allow you to set up the tent the day before the event others will not. If they allow this plan on hiring a security guard for night protection. Public places are easily accessible by the public and therefore you will need to have protection on the property you are renting otherwise you could be liable for any damages made.
Make sure to tell your guest that the event will be outdoors and in a tent so they can dress appropriately. There is nothing worst to have to walk in high heals on grass, or sand. If the event is on sand consider allowing your guest to take off their shoes. Please wear sandals our event will be in the outdoors on sand. Or Our formal event will be hosted in a tent.
Having an event in a tent can be made very glamours or casual depending on all the extras you add to it. Floral, lighting, decor, like any event it is fun and time consuming. Consult a professional to help you with all the details and to save you time meeting with all the vendors at the site.
